Start in one room and give every item one owner and one destination. Do not create a single “decide later” pile that movers and removal crews must interpret under time pressure. Use four columns: keep here, move, possible reuse, and remove.

Give each column a physical boundary

A spreadsheet helps, but the room still needs visible zones. Use different walls, corners, or rooms when space allows. A colored paper marker on the floor or wall is easier to see than a note hidden on one box. Keep all labels generic and remove personal information before disposal.

Protect the items that cause expensive mistakes

Documents, medication, keys, jewelry, cash, photographs, small electronics, chargers, and storage devices should leave the sorting area first. Back up and erase devices before they enter any reuse or removal stream.

Room-close checklist

  • Open every drawer and cabinet.
  • Check shelves above eye level and spaces behind doors.
  • Photograph the remove group and the room location.
  • Mark furniture that stays directly on the item.
  • Confirm the path from room to vehicle.

Do not promise donation on moving day

A usable item still needs a receiving organization that accepts its category, condition, dimensions, and delivery timing. Donation capacity changes. Keep possible-reuse items separate until acceptance is confirmed; build a fallback into the removal plan.

Hand one version of the list to everyone

Send the same current inventory to family members, movers, the removal company, and anyone managing the property. If the list changes, update the photo set and date the revision. End with the exact rooms to clear and the exact rooms or items to leave untouched.
